How to Set Sourcing Goals Based on Your Inventory Data (Part II)

August 4, 2025

Let’s be real: sourcing is one of the most exciting parts of running a vintage business. The thrill of the hunt, the rush when you spot a gem, it is addictive. But if we are not careful, we end up with overflowing racks... and still somehow nothing to list.

Here’s the shift: what if your sourcing could be just as strategic as it is fun?

With the right inventory data, you can set clear sourcing goals that actually grow your business—not just your closet. Whether you’re scaling up or simply trying to curate smarter, here’s how to make your data work for you.

1. Know What’s Flying Off Your Shelves

Before your next sourcing trip, open up your sales data. Which brands, styles, or categories are consistently selling fast? Maybe your 90s denim jackets are flying, but those Y2K satin slips are collecting dust.

📊 Pro tip: Filter by sell-through rate or time-to-sale. That’s your buying compass. Set a goal to stock up on those high-performers next time you source.

2. Zoom In on What’s Missing

Inventory gaps are profit gaps. Maybe you're killing it with tops, but your denim section is dry. Or you keep selling out of size M while the XS pieces linger for weeks.

🔍 Start tracking those patterns. What do customers keep asking for? What are you always wishing you had more of?

➡️ That’s not a coincidence. That’s your next sourcing goal.

3. Let Seasonality Work for You

You don’t need to be psychic—you just need to look at last year’s data. Did vintage trenches spike in September? Did Y2K halters go viral in May?

Set reminders. Source off-season while prices are lower, and plan your listings to go live just as the wave hits.

🗓️ Your data is basically a crystal ball. Use it.

4. Sourcing Budget = Investment Strategy

This one’s a game-changer. Pull up your average margins per category. If 70s boots give you a 4x return, but graphic tees barely break even... why are you still spending 50% of your budget there?

💸 Realign. Cap lower-margin categories and go all in on what’s driving real revenue.

5. Track Every Haul (and Why You Bought It)

After each sourcing trip, jot down what you picked up and what goal it served. Did you fill your missing midsize denim quota? Did you finally get more outerwear for Q4?

🛍️ When your buying is intentional, your inventory starts working for you—not against you.

Your digital inventory isn’t just for staying organized. It’s your secret weapon for sourcing like a pro. So yes, keep following your gut. But let your data lead the way.

Because sourcing smart means selling faster, listing less junk, and having more space (physically and mentally) to grow your store.
